📮 Set up email sending

Two ways to send campaigns: connect your own inbox (fastest) or verify your own sending domain (recommended).

Before your first campaign, decide where your emails send from. There are two options, and you can start with one and upgrade later.

Connected inbox — send from your own Gmail or Outlook. Fastest to set up (two clicks, no DNS), and replies land in your real inbox. Best for trying the platform or low-volume outreach.

Your own sending domain — verify a subdomain you own (like talent.yourcompany.com) and send from addresses on it. This keeps your main domain's reputation safe, supports real volume, and every candidate reply is captured by the platform — no matter which address they reply to — so the AI SDR never misses one. This is the setup we recommend for real campaigns.

Option 1 — Connect your inbox (2 minutes)

  1. 1Go to Settings → Integrations and connect your Google or Microsoft account.
  2. 2Go to Outreach → Sending and under "Send from your own inbox" click Use as sender.
  3. 3Done — campaigns you create now send from your address, and each teammate who connects their own inbox sends their campaigns from theirs.

Keep connected-inbox sending to a few dozen emails a day — it uses your personal mailbox's reputation. Purchased Google Workspace or Microsoft 365 inboxes can be connected the same way.

Option 2 — Verify your own sending domain (recommended)

  1. 4Pick a fresh subdomain of a domain you own — for example talent.yourcompany.com or jobs.yourcompany.com. Never use your root domain, and never a name that already receives email: the subdomain must have no existing MX records.
  2. 5Go to Outreach → Sending → Add domain and enter it. A DNS checklist appears with the exact records to add (SPF, DKIM, and MX — including the Receiving MX that routes candidate replies back to your workspace).
  3. 6Add each record at your DNS provider exactly as shown. Watch the host/name field: some providers want just the subdomain part (send.talent), others the full name (send.talent.yourcompany.com).
  4. 7Back on the Sending page, click Verify. DNS usually propagates in 15–30 minutes; re-check if it's still pending.
  5. 8Once verified, add a sending mailbox on the domain — for example recruiting@talent.yourcompany.com with your company's display name. There's no password and no inbox to manage: the platform sends as that address and every reply to it flows straight into your AI SDR Inbox.

One domain gives you unlimited sending addresses, isolates outreach from your company's main email reputation, and captures every reply for the AI SDR. Set it up once per workspace.

Which should I choose?

Trying things out or sending a handful of emails? Connect your inbox and go.

Running real campaigns? Verify a sending domain. Your campaigns automatically prefer the domain mailboxes once one exists, and any enrolled candidate keeps their original sender for the whole sequence — identities never switch mid-conversation.
