Email is the backbone of intake. JobsAI lets you receive resumes, send candidate communications, and manage replies so it all looks like it comes from your company — not a generic platform. There are three flows to set up: receiving, sending, and replying.
1) Receiving — your intake address
Every workspace gets a dedicated intake address at talent.jobsai.work — e.g. acme@talent.jobsai.work. Any resume emailed there is parsed automatically and dropped into your Candidate Inbox, under the General Applications pool.
- 1Open Settings → Intake to see your address; customise the handle and Save (e.g. recrutamento@talent.jobsai.work), then Copy it.
- 2Keep your own public address: in Google Workspace or Microsoft 365, add a forwarding rule (or alias) on careers@/hr@yourcompany.com that forwards to your <handle>@talent.jobsai.work address — every resume then lands in JobsAI while candidates only ever see your address.
- 3Confirm the forwarding: Google/Microsoft sends a one-time confirmation request to the intake address. JobsAI catches it and shows the confirmation code plus a “Confirm in Gmail” link as a banner on Settings → Intake — enter that code (or click the link) in your mailbox's forwarding settings to activate it. Tip: an admin-created forwarding rule or alias usually skips this confirmation step entirely.
- 4Ad-hoc: recruiters can forward any candidate email to the intake address and the attached resume is parsed automatically.
Forwarding is the self-serve way to use your own inbound address. A fully direct custom inbound domain (careers@yourcompany.com landing in JobsAI with no forwarding) is set up on white-label plans — ask your admin or contact us.
2) Sending — from your company, not “no-reply”
Automated candidate emails (acknowledgements, status updates, interview invites, offers) and your outreach go out branded as your company. By default they send from JobsAI's secure sending domain with your company name as the sender (e.g. “Acme Recruiting”). You have two ways to make them truly yours:
- 5Connect your mailbox — Settings → Integrations → Gmail/Google or Microsoft 365. Outreach and candidate emails then send from your actual mailbox and appear in your Sent folder (see Connect email & calendar). This is the closest to “send as yourself”.
- 6White-label sender — on White Label / custom-domain plans, set your From name and address under Settings → Branding so automated emails go out on your own domain and the “powered by JobsAI” footer is removed.
No mailbox connected and no white label? Email still sends with your company name as the sender — never a generic platform address.
3) Replying — keep the conversation in one place
When a candidate replies, you want it to reach your team and stay attached to the candidate.
- 7Set your Reply-to address under Settings → Intake (available on every plan). Candidate replies to interview invites, offers, and reminders then land in that monitored inbox. Leave it blank to fall back to your org contact email.
- 8With a connected mailbox, replies also come straight back to your own inbox — read and respond from there, and the thread stays under your address.
- 9To capture an off-platform reply (and its attachments) back into the Candidate Inbox, forward it to your <handle>@talent.jobsai.work address — it's parsed and filed automatically.
Connected Google mailboxes currently use send + calendar access only, so replies arrive in your mailbox (or your Reply-to inbox) where you read and respond — a threaded reply view inside JobsAI isn't available with send-only access. Always point Reply-to at a mailbox someone watches.
Recommended setup
- 10Receive: forward careers@yourcompany.com → your talent.jobsai.work intake address, then confirm forwarding via the banner on Settings → Intake.
- 11Send: connect your Gmail/Microsoft mailbox (or enable white-label sending on a supported plan).
- 12Reply: set your Reply-to under Settings → Intake (every plan) so replies reach a monitored mailbox; forward any stray candidate emails to intake to keep everything filed.
