If your team runs a separate sales CRM, JobsAI can push your recruiting CRM — companies and contacts — into it so both teams work from one set of records and nobody double-enters. Pipedrive is live today; HubSpot, Salesforce, Zoho and others are available on request.
Sync is one-way (JobsAI → your CRM) and deduplicated: each JobsAI record is keyed to its CRM object, so updates modify the same record instead of creating duplicates, and nothing in your CRM is deleted. Records push automatically in the background, and a Sync now button pushes everything at once.
Before you start
Your plan includes the CRM module (Agency, Business, or Enterprise).
You're an Owner or Admin of the JobsAI workspace — only they can connect a CRM.
You have access to your CRM's API settings.
Connect Pipedrive
- 1In Pipedrive, open Settings → Personal preferences → API and copy your personal API token.
- 2In JobsAI, go to Settings → Integrations → Pipedrive CRM.
- 3Paste the API token (plus your company domain — e.g. “acme” for acme.pipedrive.com — if you have one) and click Connect. JobsAI validates the token before saving, so a wrong token fails immediately.
- 4Click Sync now to push your existing companies and contacts in one pass. After that, new and edited records sync automatically in the background.
Only owners and admins can connect a CRM, and it's part of the CRM module (Agency/Business/Enterprise).
What syncs
Companies → Pipedrive Organizations (name, address).
Contacts → Pipedrive Persons (name, email, phone), automatically linked to their company's Organization. If the company hasn't synced yet, JobsAI creates the Organization first, then attaches the Person — so your Pipedrive structure stays clean.
Deals → Pipedrive Deals (title, value, probability, expected close date), linked to the deal's company Organization and contact Person. JobsAI's won/lost stages set the Pipedrive deal status; other stages stay open in your default pipeline.
The Integrations card shows live status: companies, contacts, and deals synced X/Y, plus the last full sync time.
When it syncs & disconnecting
Automatically: whenever you add or edit a company, contact, or deal in the JobsAI CRM (in the background — it never slows you down).
Manually: Sync now re-pushes everything; use it after a bulk import or to backfill. One run processes up to 500 of each, so run it again for very large datasets.
Disconnecting (Settings → Integrations → Pipedrive CRM → Disconnect) stops syncing but keeps the record links, so reconnecting later updates the same objects rather than duplicating them.
Troubleshooting
“Couldn't connect to Pipedrive” — the API token is wrong or expired. Re-copy it from Pipedrive → Settings → Personal preferences → API.
Records aren't appearing — confirm the integration shows Connected, then click Sync now, and check you're an Owner/Admin.
A contact isn't under its company — make sure the contact has a company set in JobsAI; contacts without one sync as standalone Persons.
Connecting a different CRM
Every CRM connection follows the same shape: authenticate under Settings → Integrations (an API token, or OAuth where the provider supports it), then JobsAI pushes your companies, contacts, and deals and keeps them current. Adding a new CRM is mostly mapping that CRM's organization, person, and deal objects to JobsAI's CRM.
To request HubSpot, Salesforce, Zoho, or another CRM — or to ask for two-way sync or for activities to push as well — contact us with your workflow and we'll scope it. Those extensions are on the roadmap; not yet supported today are activities, two-way sync, and an OAuth “Connect” button.
